The Sales Operations Specialist will play a crucial role in managing the company’s website backend on a WordPress platform, handling the backend operations of the Dynamics 365 Sales platform, and managing customizations and integrations with a Marketo platform. This position works closely with the marketing team to program campaign plans and contribute to the achievement of company goals.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Dynamics 365 Sales Platform Support:
The Sales Operations Specialist will oversee the backend operations of the Dynamics 365 Sales platform, customizing it to align with various department and company requirements and business processes. They will collaborate with stakeholders on improvement and change requests and work with the Manager of Sales Operations on priorities and strategic evolution of the platform.
- Administer the backend operations of the Dynamics 365 Sales platform.
- Support integrations with other systems and platforms leveraging XRM/API calls, SSIS jobs and third party plugins from other applications.
- Configure and customize the platform to meet the needs of the organization and overall business processes. This includes building out tables, fields and customizing the out of the box functionality. Also building out new custom functionality and tools in the Power Platform.
- Extend functionality by leveraging PCF controls, configuring and maintaining them.
- Collaborate with stakeholders to gather requirements for system enhancements and implement necessary changes.
- Supports internal dev team by keeping system documentation and data dictionary up to date. Will support team members with understanding structure to generate reports and analyze data to provide insights for decision-making.
- Role may need to provide training and support to team members on using the platform effectively at times but will need to be able to communicate changes and enhancements to formal training role.
Marketo Integration and Campaign Management:
The Sales Operations Specialist will be responsible for managing integrations between the Dynamics 365 Sales platform and Marketo, ensuring accurate data synchronization. They will collaborate with the marketing team to program campaign plans, monitor performance, and provide optimization recommendations, actively supporting targeted marketing efforts.
- Manage integration and data syncs between the Dynamics 365 Sales platform and Marketo. Other Integrations with other tools may need to be developed and maintained as well.
- Ensure data accuracy and synchronization between systems and monitoring tools like GA4 and others.
- Coordinate with the marketing team to program campaign plans in the Marketo platform.
- This role will need to make sure other analysts and the Marketing team have access and understand how to monitor campaign performance but isn’t directly responsible for this.
- Keeps up to date knowledge of the Marketo Platform and provides recommendations to the Marketing team for optimization and leveraging of features.
- Support the marketing team in executing targeted marketing campaigns.
Website Backend Management:
The Marketing team manages the day-to-day operations and content updates to our main site www.the-alliance.org leveraging out of the box and supportive plugin tools. They also have decision making authority over the evolution and direction of the site. The Marketing team does need more advanced technical support and that is where the Sales Operations Specialist role supports the website backend functionality. As one of the technical tools in the organization that integrates with other systems this role also is responsible for building and maintaining those.
- Manage and maintain the company’s website backend on a WordPress platform. Acts as a knowledge expert for Marketing team on capabilities but also watches and warns them of any subscription limits or issues that may come up.
- Collaborate with the marketing team to implement design and content changes when they need support extending functionality outside of the base platform or plugins. This may include developing in HTML, making CSS customizations, writing and maintaining custom plugins which may require knowledge of other developer languages.
- Keeps up to date with plugin updates and reviews update notes for any site impacts. Works with Marketing team on scheduled updates and helps troubleshoot any impacts.
- Supports Marketing team and other analysts with connections to other tools that monitor website analytics and can support generation of reports as needed.
- Troubleshoot website issues and coordinate with IT support or external vendors when necessary.
Miscellaneous Duties:
In addition to the primary duties, the Sales Operations Specialist will assist with data management, collaborate with cross-functional teams, and stay updated with industry trends. They will also handle various assigned duties to contribute to the overall success of the Business Development, Account Executive, Sales Operations, Marketing and Analytics teams.
- Assist in data management and cleansing activities.
- Collaborate with cross-functional teams to improve operational efficiency and effectiveness.
- Identify bottlenecks or areas of improvement in workflows as observed from supporting all the cross departmental and system integrations.
- Stay informed about emerging sales technologies and trends in the industry.
- Evaluate and recommend tools, software, or systems to improve sales operations and organizational effectiveness.
- Collaborate with Dev Team members to implement new technologies and ensure smooth integration with existing systems.
- Stay updated with industry trends and best practices related to Sales Operations and marketing automation.
- Support in building and maintaining custom tools in the Power Platform.
- Perform other duties as assigned to support the overall success of the Sales Operations team.
QUALIFICATION REQUIREMENTS:
Education and/or Experience: Bachelor’s degree in a relevant field or equivalent experience in Sales Operations systems and Marketing Automation platforms.
Language Skills: Excellent written and verbal communication skills. Ability to effectively communicate technical concepts to non-technical stakeholders.
Mathematical Skills: Strong analytical skills with the ability to analyze sales data and campaign performance.
Reasoning Ability: Ability to solve problems and make sound decisions based on available information.
Other Skills and Abilities:
- Proficiency in managing WordPress websites and experience with backend development.
- In-depth knowledge of the Dynamics 365 Sales platform and its customization capabilities.
- Familiarity with Marketo or other marketing automation platforms.
- Knowledge or Microsoft’s Power Platform
- Proficiency in HTML, CSS, SQL, API Integrations and Xrm Query Language.
- Strong attention to detail and organizational skills.
- Ability to work collaboratively in a cross-functional team environment.
- Understanding of sales and marketing processes and their integration.
